Privacy Policy

Last updated 23 September 2026

RentQ is operated by Crintea LTD (“we”, “us”). This policy explains what personal data RentQ handles, why, and the choices you have.

Who is responsible for your data

For your own account (landlords, tenants and handymen who sign up), we are the data controller. Landlords also enter information about their tenants and properties — for that information the landlord is the controller and we process it on their behalf to provide the service. If you're a tenant with a question about data your landlord holds, you can contact your landlord directly as well as us.

What we collect

  • Account details — name, email, a securely hashed password, and your role.
  • Property and tenancy records landlords add — properties, units, tenants' names and contact details, leases, rent and payment records, expenses, compliance certificates, inventories and condition photos.
  • Communications — messages between landlords and tenants, repair requests, updates, quotes and reminders.
  • Files you upload — documents and photos.
  • Billing — subscription status and seat count. Card details are collected and held by Stripe; we never see or store your full card number.
  • Security data — IP addresses in server logs and rate-limit counters, used to keep accounts safe from abuse.

Why we use it (lawful basis)

  • To provide the service you signed up for (performance of a contract).
  • To bill subscriptions and meet tax and accounting duties (legal obligation).
  • To keep the service secure and prevent fraud, and to send service emails such as password resets, invites, reminders and repair updates (legitimate interests).

We don't sell your data, and we don't use it for advertising.

Cookies

We use one essential cookie to keep you signed in, and remember your language choice on the homepage. We don't use analytics or advertising cookies.

Who we share it with

We use these providers to run RentQ, under contracts that protect your data:

  • Netlify — web hosting
  • Supabase — database (hosted in London, UK)
  • Cloudflare R2 — file storage
  • Stripe — subscription payments
  • Resend — sending emails
  • Google Fonts — web fonts (your browser requests them from Google)

Some providers may process data outside the UK; where they do, it's protected by appropriate safeguards such as the UK International Data Transfer Addendum.

How long we keep it

We keep your data while your account is open. If you delete your account, we delete it promptly, except where we must keep limited billing records for tax purposes (usually six years). A tenant's rent records form part of their landlord's business records and stay with the landlord's account.

Your rights

You can, at any time:

  • Download your data — Account settings → “Download my data”.
  • Correct it — edit your profile, or ask your landlord to update tenancy records.
  • Delete your account — Account settings → “Delete account”.
  • Object to or ask us to restrict certain processing.

Email us at privacy@rentq.net for anything else. You also have the right to complain to the Information Commissioner's Office (ico.org.uk).

Security

Passwords are hashed, all traffic is encrypted, access is limited to each account's own data, and sign-in attempts are rate-limited.

Changes

If we change this policy we'll update the date above, and tell you by email for significant changes. See also our Terms.
